Detailed description of User roles

IWannaTicket users define who can access what in IWannaTicket. When you login to IWannaTicket admin, you login as a particular user and hence have a particular set of permissions.

A user is associated with exactly one account. Users can not affect anything that does not belong to their account.

Account Admins

An account admin is a basic IWannaTicket user. This sort of user can create events. Hence it is the sort of user created when a new IWannaTicket account is created. Account admins can access all resources of an account except those that are restricted to IWannaTicket only.

One important thing account admins are prevented from doing is making themselves not an account admin.

Account admins are "normal" IWannaTicket users, and other types of user are often described according to how they differ from an account admin.

Front of House Users

A front of house (FoH) user is a user whose designated role is to sell tickets using the IWannaTicket box office. It is assumed that these users are employees hired specifically to work the box office and do not make business decisions regarding the event. FoH users may not modify events, and they are not allowed to see data regarding total sales. 

FoH users can see all events in an account, and may sell tickets to all events in an account. As FoH users deal with customers, so they are allowed to see the Orders area, for all events. Hence FoH users can look up all orders in the account.


Restricted Users

Restricted users are restricted to particular events or venues. These are useful if the event is part of a wider festival which contains many diverse events.

Event-Restricted Users

Event-restricted users are assumed to be event promoters who are working with the account owner on these particular events only. They are not allowed to modify the events, but they are allowed to see some of the event's financials, e.g. total sales, but not all reports. Event-restricted users are not allowed to use the box office.

Venue-Restricted Users

A venue-restricted user is assumed to a venue owner who has an interest in attendance at the event. They are able to view all events at a specified set of venues. However they are not able to see financial details of the events.

Restricted Users with Box Office

Event and venue-restricted users can be granted permission to do box office at the events they can see. Permission to do box office for the events, and permission to do box office for the venues are separate settings.

A user is permitted to do box office for an event if they are restricted to that event and can do box office for events they are restricted to; or if they are restricted to the venue and can do box office for venues they are restricted to - i.e. they get all of the permissions that they are entitled to by the separate configurations. This means that a user might be able to see multiple events, but be able to see different sorts of information about them.

A user is allowed to see the orders area for an event if they are allowed to do box office for it. This includes sales found by searching.

A user who is restricted to events but can do box office is similar to a Front of House user who can see limited events. However the restricted user can see limited financial information for the events which the FoH user cannot.

Restricted Users who can manage events

Sometimes a festival wants to delegate management of some events to event managers with a particular interest in that event. In that case, the user can be restricted to events and given the "Manage Events" permission. This user will then be able to deal with those events like an Account Admin can, including editing the event, seeing all reports, and doing box office.

It is not possible for an event-restricted user to be able to manage some events and only view some others.

Restricted Reports

Restricted users are sometimes thought of as having a "lower security clearance" than account admins, so are sometimes prohibited from seeing some guest details, e.g. contact details. IWannaTicket has a set of restricted reports which can be added to an account. If an account has any restricted reports, restricted users can see only restricted reports.


Other Possible Settings

No Reports

A user can be marked as not allowed to access any reports at all.

Returns and Refunds

Box office operators generally cannot do returns or refunds. However sometimes to make end of day amounts balance, they need to be able to. An account admin can turn on this option for a user so that user is allowed to do returns and refunds when they would not normally be allowed to. The user will need to refresh the screen to be able to see the option.

This option will be turned off when the account next logs in, so as to prevent it being left on accidentally.

Changing Passwords

All users except FoH users are allowed to change their password by going to the account area and editing their entry in the user list (if they are not an account admin, they will be the only one there). As FoH accounts are often shared, those users are not allowed to change their password.

FoH users who have other privileges as well, e.g. they are restricted to events, are allowed to change their password.
